Quote Management

The Quote management screen displays a list of quotes created for customers. The quotes can be sorted by Date, Quotation Number , User or by Customer.

Select Customers in the Folders list (left of screen) and the second level menu appears underneath.

Select Sales Quotes, and a list of existing quotes appear in the main viewing area (right of screen).

Each quote has a flag beside it showing the status of the quote.

  • Current Quotes:

    When creating a new quote or editing an existing quote you can enter the quote status. If the status is shown as current, then the flag will show Current Quotes

  • Expired Quotes:

    Quotes that have not been taken up by the expected date and have now expired.

  • Accepted Quotes:

    Quotes that have been accepted and converted to an order or invoice. When you convert a quote to an order, or invoice, then that quote is automatically flagged as accepted.

**Maintaining and Processing Quotes **

  • Create New Quote:

    To create a new quote, select New from the top menu bar. This will bring up the quotation entry screen.

  • Editing an Existing Quote:

    To edit an existing quote select the quote and select Open from the top menu bar. This will allow you to amend the details of the quotation.

  • Deleting a Quote:

    To delete a quote select Delete from the top menu bar. This will remove the selected quotation.

  • Viewing the Details of the Quote:

    To see the details on the quote select the quote on the list and Double Click on that quote to see the contents.

  • Convert to Order:

    If the quote has been accepted it can be converted to an order by selecting the quote and selecting Convert to Order from the menu bar. This will open the New Sales Order program and automatically select that quote.

  • Convert to Delivery:

    If the quote has been accepted it can be converted to a delivery by selecting the quote and selecting Convert to Delivery from the menu bar. This will open the Sales Delivery program and automatically select that quote. Note: Deliver all Items (CTRL+A) will be selected automatically.

  • Convert to Invoice:

    If the quote has been accepted it can be converted to an invoice by selecting the quote and selecting Convert to Invoice from the menu bar. This will open the Sales Invoice program and automatically select that quote. Note: Invoice and Deliver all Items (CTRL+A) will be selected automatically.
